Certified Medication Aide Training Program Resources

Document Submission

KBN is responsible for approving and regulating pre- and post-licensure nursing education programs, dialysis technician (DT) training programs, sexual assault nurse examiner (SANE) training programs, licensed certified professional midwife (LCPM) training programs, and certified medication aide (CMA) training programs in the state of Kentucky. This oversight involves a substantial amount of documentation, reporting, and time spent by the programs’ faculty and staff as well as by Board staff.

To streamline and simplify these processes, KBN has leveraged EDvera, a workflow automation and document management platform that enables end-to-end management of complex application processing, audits, and reporting.

Staff from Kentucky regulated educational institutions and training programs must log into EDvera at https://kbn.edvera.com to submit all documentation to the Board. Institutions desiring to open a new CMA Training Program must email KBN.Education@ky.gov stating the intent to open a new CMA Training Program and requesting access to EDvera to submit the required documentation. Any documentation submitted via mail or email will have to be resubmitted in EDvera once access has been granted.

Opening a New CMA Training Program

Pursuant to 201 KAR 20:700 § 2(4)(a)(1), a facility outside of the Kentucky Community and Technical College System (KCTCS) that seeks approval to open a CMA I or CMA I & II training program in Kentucky shall file an Application for Certified Medication Training Program (CMA I) or (CMA I & II) via the EDvera platform. The CMA I application must be accompanied by a non-refundable fee of $200.00, and the CMA I & II application must be accompanied by a non-refundable fee of $300.00. The applicable fee must be remitted at the time that the application is submitted.

Unless exempt under 201 KAR 20:700 § 3(1), a training program shall not admit an individual until the program has been approved by the Board.

To gain access to EDvera to be able to submit the required application and fee, the facility’s President/CEO, the designated CMA Training Program Administrator, or the individual responsible for completing and submitting the CMA Training Program application (if a Program Administrator has not yet been designated) must email KBN Education Staff at KBN.Education@ky.gov with the following information:

  • The name of the facility wanting to open a CMA Training Program;
  • Whether the facility wants to open a CMA I or CMA I & II Training Program;
  • The physical address where the facility wants to open the CMA Training Program;
  • The facility’s mailing address;
  • The facility’s website; and
  • Contact information for the Program Administrator or the individual responsible for completing and submitting the CMA Training Program application (if a Program Administrator has not yet been designated) as follows:
    • First and last name;
    • Official job title;
    • Direct work email; and
    • Direct work phone number.

Once KBN staff have set up the facility’s profile and created an EDvera user account for the individual indicated in the facility’s email, the individual will receive an email with a link to finish the registration process and create a password for their account. After completing the registration process, the user will have full access to the EDvera system for the prospective CMA Training Program.
