Have you recently received a letter from the Kentucky Board of Nursing (KBN) informing your nursing license renewal for 2019 has been selected for the CE/continuing competency audit? If so, the information below can help to successfully navigate the CE/continuing competency audit process.

- All CE/continuing competency documentation is due to the KBN office via US mail in the provided envelope by March 9, 2020. Email attachments and faxed documents cannot be accepted.
- It is not necessary to send documents via certified mail.
- For submissions with multiple documents, a large mailing envelope can be used. Please affix the provided KBN envelope to the front of the package to ensure accurate delivery and routing within the KBN.
- Documentation that validates completion of CE/continuing competency requirements for the 2019 licensure period should be dated between the timeframe of November 1, 2018 through October 31, 2019. Documentation with a completion date that falls outside of this timeframe will not be accepted.
- Please submit COPIES of all documents and retain original documents for your files. Information submitted for the audit will not be returned.
- Due to the large volume of audit submissions – KBN staff are unable to provide individual confirmations of receipt. You may verify the progress of your submission by visiting the web address provided in the audit letter. Information regarding receipt of your submission, review process, and completion is viewable and will be updated in “real time” as your submission is processed.
- Correspondence from the KBN will be sent within 90 days from receipt of materials. The mailed letter will confirm that either competency requirements have been met or will notify that additional information is required to complete the audit process.
The initial audit notification packet includes two (2) pages and a return envelope. The first page is an instructional letter that provides basic information for completing the audit. The second page consists of (1) an option checklist to designate the method that will be used to verify continued competency requirements and (2) a Nursing Employment Evaluation Form that should be completed if Option #2 will be utilized (see below). These pages are automatically generated for the audit process and include your name and license number for KBN reference.
- On the provided page 2 included within the initial audit packet, please select ONE option (check the box) and gather all specified documentation required. APRN and SANE credentialed nurses should use the designated options (below) to validate continued competency.
- Ensure your NAME and LICENSE NUMBER are clearly written on each document.
- Verify documents reflect completion during the earning period of November 1, 2018 through October 31, 2019.
- Within the provided envelope, enclose page 2 with option choice selected AND all specified documentation required. PLEASE NOTE: Page 2 must be enclosed as it includes computer-generated numbers for KBN reference. Materials submitted WITHOUT page 2 cannot be processed.
- Mail to the KBN to ensure receipt prior to March 9, 2020.
Additional Information for Validating CE/Competency using ONE of the following methods:
14 Approved Contact Hours: Submit COPIES of valid CE certificates from an approved provider totaling 14 or more contact hours. Approved providers are those authorized to provide nursing continuing education by the KBN, any other state board of nursing, or one of the nursing organizations listed in the CE Brochure (see below). Certificates must include: (1) name of participant, (2) title/topic of CE offering, (3) date and location of completion, (4) contact information of CE provider (name of CE providership, address, phone number), (5) providership approval number and expiration date, (6) name and signature of CE Provider representative, and (7) number of CONTACT HOURS awarded. Nursing continuing education credits must be designated in CONTACT HOURS. Certificates indicating the award of “CEUs”, “clock hours”, and/or “CMEs” (AMA credits) will not be accepted. Submissions must be copies of actual certificates – transcripts of activities and clinical certification cards, such as ACLS or PALS, will not be accepted as proof of CE/competency. Please note: General employment, staff development, and in-service activities, such as orientation, on-the-job training, basic CPR (BLS), education/competencies completed by all employees (e.g. HIPAA training, fire safety, etc…), and equipment demonstrations cannot be utilized for CE credit. Continuing education offerings cannot be repeated during a licensure period.
Satisfactory Nursing Employment Evaluation & 7 Approved Contact Hours: Submit COPIES of (1) a nursing employment evaluation (in entirety) that has been completed by an immediate supervisor and shows satisfactory performance for continued employment, (2) the NURSING EMPLOYMENT EVALUATION FORM included within the initial audit notification packet (completed and signed by an immediate supervisor), and (3) COPIES of valid CE certificates from an approved provider totaling (seven) 7 or more contact hours (see Option #1 above for CE certificate guidelines). The nursing employment evaluation must be signed and dated by an immediate supervisor, include employer contact information (name, address, phone number), and must cover a period of at least six (6) months of the earning period (November 1, 2018 through October 31, 2019). Evaluations that are incomplete, do not cover a period of at least 6 months of the earning period (November 1, 2018 – October 31, 2019), and/or are not signed and dated by an immediate supervisor will not be accepted.
Current National Certification or Recertification related to the Nurse’s Practice Role: Submit a COPY of the national nursing certification certificate or certification card showing the date of expiration. Certifications shall have been initially attained, renewed, or in effect during the entire earning period (November 1, 2018 through October 31, 2019). National nursing certifications are designated by a certifying body, recognize specialized knowledge within a designated nursing field, and typically require successful completion of a national examination. Examples of national nursing certifications may include Medical-Surgical Nurse (RN-BC, CMSRN), Critical Care Nurse (CCRN), Operating Room Nurse (CNOR), Oncology Nurse (OCN), Case Manager Nurse (CCM), etc... Certifications, such as ACLS, PALS, NRP, TNCC, are clinical designations and do not meet the requirements of national nursing certification.
Post Licensure Academic Course at a College, University, or Vocational Institution: Submit a COPY of an academic transcript showing the successful completion of a nursing course beyond the prelicensure curriculum or a course relevant to nursing practice. The course must have been completed during the earning period (November 1, 2018 through October 31, 2019) with an awarded grade of “C” or better, or a grade of “pass” on a pass-fail grading system. Acceptable courses would be those outlined within the required curriculum for a nurse to advance beyond the initial nursing license, such as LPNs obtaining an RN degree; RNs enrolled within RN-BSN completion courses, RNs completing graduate studies toward MSN, DNP, and PhD degrees or completing courses toward additional APRN tracks (e.g. FNP, Mental Health, Acute Care, Pediatrics, etc…). Examples of non-nursing courses relevant to nursing practice would include statistics, religion, social sciences, nutrition, biological sciences, or are health-related. Transcripts must include your name, name of academic institution, course number/prefix, course credit hours, semester completed, and grade earned. Unofficial transcripts will be accepted. Calculation of credit: One (1) semester or trimester hour of academic (college) credit = fifteen (15) contact hours; One (1) quarter hour of academic (college) credit = twelve (12) contact hours. Example: A 3-credit hour academic (college) course = 45 contact hours.
Participation as a Preceptor: Submit the PRECEPTOR VERIFICATION FORM: https://kbn.ky.gov/ce/Documents/preceptor.pdf or written documentation from an academic institution or preceptor’s supervisor showing service as a preceptor (one-to-one relationship) for at least one (1) nursing student or new employee for at least 120 hours. Preceptor service must have been completed during the earning period (November 1, 2018 through October 31, 2019). Hours may be combined if precepting more than one student/employee.
Publication of a Nursing Article: Submit a COPY of the article published during the earning period (November 1, 2018 through October 31, 2019). Articles must be related to nursing practice and be published in a peer-reviewed, health-related journal.
Nursing Continuing Education Presentation: Submit a COPY of the program brochure, course syllabi, or letter from an approved CE offering provider that identifies you as the developer and presenter of educational content. Content must have been presented during the earning period (November 1, 2018 through October 31, 2019) and the target audience must be nurses or other health professionals.
Completion of a Nursing-Related Research Project: Submit a COPY of the project abstract that utilizes a research methodology, is qualitative or quantitative in nature, and includes a summary of findings. Research must have been completed during the earning period (November 1, 2018 through October 31, 2019).
Advanced Practice Registered Nurses (APRNs): Submit a COPY of your national nursing certification and COPIES of CE certificates from an approved provider totaling five (5) contact hours in pharmacology (see Option #1 above for CE certificate guidelines). Please note: APRNs may use continuing medical education (CME) credits for pharmacology continuing education requirements if the provider offering the course is recognized by their national certifying organization (e.g. AANP, ANCC, etc…). The national nursing certification shall have been initially attained, renewed, or in effect during the entire earning period (November 1, 2018 through October 31, 2019) and show date of expiration. The APRN national nursing certification satisfies the fourteen (14) contact hours required for RN licensure renewal. APRNs with a CAPA-CS are required to earn 1.5 contact hours from an approved provider related to the use of the KASPER system, pain management, or addition disorders. These hours may count toward the five (5) contact hours in pharmacology required of APRNs.
Sexual Assault Nurse Examiner (SANE) Credentialed Nurses: Submit COPIES of CE certificates (see Option #1 above for CE certificate guidelines) from an approved provider totaling five (5) contact hours of continuing education related to the role of the sexual assault nurse examiner or forensic nursing. These contact hours must have been completed during the earning period (November 1, 2018 through October 31, 2019) and may count toward the fourteen (14) contact hours required for renewal of the RN license.
